We understand that this project requires a unique and innovative approach to Public Education and Outreach, not a “one size fits all” approach with cookie cutter and/or outdated techniques. The best management practices that we will provide in the Summary Document will not only focus on how to best meet the objectives and present the deliverables for this Task, but also outline how to keep the information fresh and relevant so that stakeholders and other interested parties will be engaged throughout the process.
Five recently noted innovations in public outreach for projects similar in scope to this Plan Update include: process-as-event, on-the-ground, real time, early wins, and accessible materials. A brief description of each follows:
• Process-As-Event – planning meetings worth attending: Where traditional public meetings may not be well-attended (not sure if the current plan meetings are well-attended? If so, please edit/delete) or provide participants with a hands-on level of interaction, meetings couched as “events” can be held to facilitate open discussion and increase buy-in for those who are involved. To achieve sustained interest from meeting participants, and in an ideal scenario have them become champions of the cause, proper and ongoing engagement is key. Many people have very busy schedules with time commitments that make it difficult (or just not desirable) to attend a traditional public meeting. The meetings should be presented as more than just information
A meeting agenda ensures that the meeting will be a productive use of everyone's time. It can focus the attendee’s efforts and provide a structure to accomplish the meeting purpose. It defines outcomes, and important information, attendee roles and responsibilities and a meeting timeline. It allows attendee’s to prepare for the meeting as it is made available a week before. It also works as a checklist of those attending, goals and topics for discussion to make sure that all the necessary information is covered and keeps team members focused on the specific goals and stay on track with the subject matter.

They have delivered innovative solutions and impactful services to the community through conferences, seminars, transformative programs and workshops.

Outreach events, word of mouth, flyers, and ads are ways in which an organization would communicate with their target population.. This organization chose to hold homecoming tours. These tours were open to anyone who wanted to learn about the services Pathways to Housing PA offers. Sensitive to the needs of their potential participants, Pathways held these meeting after business hours to help increase the amount of people able to attend. These meeting are no longer held, but the interviewee states they believe these were helpful functions, and suspects they will return in the
Recently, Family Promise of Summit County has undergone a full re-evaluation of the structure of the organization. This included the steps in developing the strategic plan which included an environmental assessment, SWOT analysis, revision of mission and vision statements, and long range objectives. One of the main issues within Family Promise of Summit County was public relations. Family Promise found difficulty communicating their service to the public which influenced fundraising abilities, social media outreach, and networking. Family
For my second activity, I attended a meeting of Fossil Free SFSU. This organization is fighting to completely divest San Francisco State University from any connections with the fossil fuel industry. Meaning, this organization is campaigning for SFSU to eliminate all stocks, funds, bonds, etc.- anything associated to fossil fuels. I attended the meeting at a perfect time because it was sort of an introduction to what the organization is about and what they have planned for the future. It began with a quick introduction of everybody, and then we quickly went to business. We discussed and brainstormed what is needed to become a successful campaign team. I really
Healey and Zimmerman state (2010) that an innovative program will require not only team effort, but input from community leaders as well as collaborative partners, that will aid in the development, implementation, evaluation of a community education campaign, as well as the program continuance, including funding. The campaign should be built constructed on strong and understandable messages, so that the target population can take action and pass on the message from its memorable key components. An effective campaign then, will devise under the campaign logo what the problem needs to be changed, how the campaign will go about making this change, the consequences of not taking action, and the action to be taken to achieve the message of the proposed campaign (UN Women, 2012).

We arranged the first meeting to identify people who want to be in charge of a particular activity of the outreach checklist (Illingworth, 2016). We discussed the format of the school event and in place an outline of what need to organise. Everyone showed a relevant motivation and interest with compelling supporting ideas, and excellent organisation skills. However, we realised how a school science communication activity tends to be more structured and complex than expected. If it is a school time, for instance, how our original idea was, it needs to fit within a timetabled lesson and has to plan many months in advance. Moreover, if the interventions are with primary school pupils, every student to take part needs to have an Enhanced DBS check.
